Getting Hired
Congratulations on your new student job! We're excited to welcome you to the ºÚÁÏÕýÄÜÁ¿ student employment community.
Before you can begin working, there are a few hiring steps you'll need to complete:

Important: You may not begin working until you receive an email from ºÚÁÏÕýÄÜÁ¿ Human Resources confirming that your hire has been processed.
Tip: The sooner you complete your required forms and onboarding tasks, the sooner HR can process your hire and clear you to begin working, woohoo!
Employment Eligibility Requirements
I-9 Employment Verification Requirements
As part of the hiring process, you must verify your eligibility to work in the United States by presenting acceptable to Human Resources.
Please note:
- You must present original, unexpired documents. (Photocopies, scans, or photos of documents cannot be accepted)
- If you are unable to provide the required documents, please contact the Office of Human Resources to discuss your options.
U.S. Citizens and Eligible Noncitizens
Examples of acceptable documents include:
- A U.S. Passport; or
- A Permanent Resident Card; or
- A combination of a driver's license or state-issued ID and an unrestricted Social Security card.
DACA Students
DACA students may present an Employment Authorization Document (EAD), also known as a work permit. The EAD includes the student's photo, name, and expiration date.
Acceptable I-9 Documents
Please note that you must present original, unexpired document(s) during the hiring process; photocopies will not be accepted.
Employment for International Students
International students with F-1 visa status may work on campus at ºÚÁÏÕýÄÜÁ¿. If you accept a student employment position, you will complete the same hiring steps outlined above, along with a few additional requirements.
Step 1: Apply for a Social Security Number (SSN)
International students who accept a student employment position must apply for a Social Security Number (SSN) through the Social Security Administration.
To begin the process:
- Your hiring supervisor will provide an employment offer letter. If needed, your supervisor can contact the International Programs Office for an offer letter template.
- Submit your employment offer letter to the International Programs Office to request F-1 status verification. Schedule an appointment with Todd Sasaki, ºÚÁÏÕýÄÜÁ¿â€™s International Student Advisor, for additional guidance.
- Complete the Social Security Card application.
- Bring the required documents to your local Social Security Administration office:
- Employment offer/verification letter
- F-1 status verification letter
- Valid passport
- Visa
- Most recent Form I-94
- Form I-20
- Social Security Card application
Step 2: Complete Your Authorization to Hire Form
Once you have the receipt from the social security office, if you haven't already submit a request with a .
Once submitted, it will automatically route to your supervisor for review and approval.
Step 3: Complete Your Workday Onboarding Tasks
After Human Resources receives your approved hire form, you will be entered into Workday and receive temporary onboarding credentials through your ºÚÁÏÕýÄÜÁ¿ email address.
Once you log in to Workday, complete all assigned onboarding tasks. If you have trouble with the SSN step, please contact HR@pitzer.edu.
Step 4: Present your I9 Documents in person to the HR Office
As part of the hiring process, you must complete required employment verification steps, including presenting acceptable I-9 documents in person to the HR Office (located on the third floor of the McConnell Center). These documents will include the most recent I94, F-1/J-1, Foreign Passport, and the receipt from the social security office.
Please remember:
- Documents must be original and unexpired so photocopies, scans, or photos cannot be accepted.
Important Information for F-1 Students
F-1 students are eligible for on-campus employment while maintaining their student status. Students should consult with ºÚÁÏÕýÄÜÁ¿â€™s International Student Advisor before accepting any off-campus employment opportunities.

Income Tax Information for International Students
While attending ºÚÁÏÕýÄÜÁ¿, working students are subject to two tax authorities: the (IRS) and the (FTB). It is essential that international students comply with applicable tax regulations.
Failure to pay required income tax can result in fines, interest, and potential immigration consequences.
The college provides access to Sprintax for tax preparation. There is no charge for federal filing preparation, but there may be a charge for state filings. Watch for an email during spring semester for login access.
Are you a Resident or Non-Resident for taxes?
U.S. taxpayers are divided into two categories:
- Residents for tax purposes
- Non-residents for tax purposes
(This terminology does not relate to immigration status.)
F-1 students are generally considered non-residents for tax purposes for up to 5 years and must file IRS Form 8843.
Taxable Income
- Financial Aid — Amounts exceeding tuition and required educational expenses may be taxable.
- On-campus employment — Wages are taxable and reported on a W-2.
- Other income — Includes prizes, honorariums, and royalties, which must be reported even if no form is issued.
Preparation of Tax Returns
Sprintax is recommended for non-resident tax preparation, including treaty analysis and multi-state filings.
Filing Your Tax Returns
Non-resident tax returns must be mailed (not e-filed). The general deadline is April 15.
Beware of scams!
The IRS will never call you. All official communication is by mail. Do not share personal information over the phone.
